Part-Time Campaign Assistant

Job Purpose: 

Under the supervision of the Director of Development, this position provides administrative and research support for the planning, organization, and implementation of Perspectives, a multi-year fundraising campaign currently in the planning/quiet phase. The Assistant plays a key role in applying research techniques and analysis to qualify prospects as well as coordinating campaign and major gifts program management.

The top candidate will possess a unique blend of skills, both as an excellent external communicator and as an independent researcher capable of bringing sound recommendations to the fundraising team. The workplace environment will be a combination of remote and onsite locations at Hagley Museum and Library in Wilmington, DE.

Specific Duties:

Prospect Research
•    Conduct independent research and analysis as requested by the Director to qualify known prospects and identify new sources of potential funding. Assistant will use current data, internet and subscription research tools/resources and, where utilized, peer review sessions to determine match potential to Campaign projects. 

•    As directed, facilitate the fundraising activities of solicitors by providing clerical, record-keeping, and other administrative support for their prospect identification, cultivation, and solicitation efforts. Ensure capture of cultivation efforts is recorded in the donor database and monitor cultivation/solicitation progress of solicitors.

•    Prepare reports and profiles for the Director as needed including contact information, timelines for application, areas of affinity and other information as deemed essential for qualifying them to be approached.

Campaign Support
•    Provide administrative support to the Director related to the campaign, including meeting coordination and recording of minutes, calendar management, donor data input and tracking, communications and acknowledgements, special mailings and proposal packet preparation, and creation of reports and presentations. 

•    Coordinate interdepartmental work group meetings for campaign initiatives. 

•    Assist Director with the implementation of campaign-related events, including coordination with Hagley event staff on contracting, preparing mailings, sending invitations, tracking RSVPs, etc.

• Develop and maintain an accurate report of campaign progress to date.

Minimum Experience:
•    High school diploma/ GED equivalent. Bachelor’s degree or comparable experience preferred. 
•    Minimum two years of administrative support experience. 
•    Preferential consideration given to those demonstrating experience working in a fundraising capacity.
•    Demonstrated ability to research, retrieve, analyze, and synthesize information gathered from varied sources.
•    Strong aligned commitment to the mission of Hagley Museum and Library.

Key Skills and Abilities:
•    Experience with online databases and resources such as Foundation Directory Online/Candid, wealth screening tools. etc. highly desired.
•    Proficiency with Microsoft Office 365, Adobe Acrobat, and working with a CRM database (Altru or Raiser’s Edge experience strongly preferred). 
•    Experience with Teams, SharePoint essential.
•    Excellent research, writing and editing skills. 
•    Organized and efficient, capable of managing multiple projects with competing priorities to the highest standards in a timely manner while remaining flexible.
•    Accurate and impeccable attention to detail. 
•    Proactive self-starter requiring minimal supervision, but also works well on team. 
•    Experience working with high level volunteers and donors. 
•    Personable and professional demeanor committed to the highest customer service (verbal and written).
•     Utmost discretion and commitment to confidentiality in the handling of sensitive donor information.

Working Conditions and Physical Effort: 
•    With the exception of campaign-related meetings and events in which the Assistant’s physical presence is mandatory, the majority of this work may be executed offsite working remotely. 
•    Hagley’s regular office hours are 8:30 AM-4:30 PM ET M-F and it is expected that the Assistant will coordinate at least 70% of their work hours weekly to fall within this timeframe. Some worktime flexibility may be exercised in consultation with the Director in advance, based on type of work being done and hours needed to accomplish tasks in any given week. 
•    Hagley will supply the Assistant with computer equipment as needed to complete assignments offsite, as well as cloud-based access to the required files and programs. 
•    When onsite or at campaign-related events, occasionally lifts, carries or otherwise moves and positions objects weighing up to 30 pounds.
•    Occasional weekend and evening responsibilities. 
•    May walk on uneven ground while working onsite

Compensation and Hours: 
•    $22 per hour, 17.5 hours per week
•    Schedule can be flexible within standard operating hours.
